Finance Assistant

Purpose of Role/Key Objectives

The priorities of the role will encompass all aspects of the finance function which will include taking part responsibility for credit control plus assisting with purchase ledger, FP&A, internal and external reporting, management accounts and assisting the Financial Controller with ad hoc tasks.

Main Duties and Responsibilities

  • Support the Credit Control function up to 3 days a week and during holiday periods.
  • Download and post cash receipts daily.
  • Send out each day’s receipts email with top 5 UK/Export overdue customers.
  • Update and send daily cash-flow report to France.
  • Manage the sales ledger reviewing the aged debtors report periodically and contacting customers accordingly.
  • Posting all payments coming in and out of the 4 bank accounts, processing all incoming cheques, maintaining our banking records and monitoring the daily cash-flow.
  • Taking payments via the card machine.
  • Providing bi-weekly receipts forecast for all currencies for the Financial Controller.
  • Dealing with customer queries and disputes regarding any issues with their sales account and raising a credit log where applicable. Providing statements, copy invoices and credit notes to customers where requested.
  • Reconcile customer accounts regularly, posting any unallocated cash and matching off credit notes where appropriate.
  • Regularly review the credit log and raise approved credit logs, emailing them to the customers.
  • Assist with purchase ledger when required and cover for holiday periods.
  • Supplier invoice processing for third party suppliers, posting payments to cashbook, ensuring purchase orders and invoices are matched.
  • Generating proposed payment runs for authorisation and input to the bank.
  • Assist with management of the goods received not invoiced reporting.
  • Assist with the set up new and maintain existing suppliers within the accounting package.
  • Assist with processing, verifying and paying personal expense claims.
  • Analyse and recode Capex purchases.
  • Process all intercompany invoices and perform all monthly reconciliations.
  • Reconcile all balance sheet accounts on a monthly basis.
  • Reconcile all bank accounts on a monthly basis.
  • Prepare and submit VAT, Intrastat and National Statistics and Repic EEE returns.
  • Prepare and submit quarterly licence fee royalty returns, maintain accruals schedule and reconcile accounts monthly.
  • Bentley Royalty - request value from Bentley quarterly, accrue monthly and report sales monthly.
  • Report MFI chip usage to Apple monthly.
  • Provide support for the preparation of management accounts and month-end reporting including journal, accrual and pre-payment posting.
  • Assist with reconciliation of Direct Debit mandates.
  • Assist with reconciliation of Financial Lease payments
  • Assist external auditors with any information request that is required for audit.

The above list of main duties and responsibilities is not exhaustive and you may be asked to carry out other ad hoc tasks as and when required.

Skills & Requirements


  •  Minimum 3 years’ relevant working experience in an accounting and credit control / accounts receivable / accounts payable environment.
  • Minimum 2 years’ credit control experience.
  • Could be studying towards an accountancy qualification (AAT, ACCA or CIMA) or also could be qualified by experience.
  • Experience of working for a manufacturing company would be a distinct advantage.
  • Must have Excel skills and be used to working with an ERP preferably Efacs or an equivalent.
  • Must have experience and feel comfortable working in a small accounting office where there is a requirement to multi task.
  • Results orientated, able to clearly communicate at all levels with excellent interpersonal skills and the ability to influence peers.
